IT Support for School Boards: What Matters Most

School boards need IT support that keeps classrooms, networks, communications, safety systems, and sensitive data secure and available.

The priorities are reliable infrastructure, strong identity protection, controlled vendor access, tested recovery, responsive support, and technology planning that works across the entire board.

School environments combine thousands of users, shared devices, multiple buildings, limited maintenance windows, aging infrastructure, and sensitive records. The right IT partner must understand these conditions.

School boards manage accounts for students, teachers, administrators, occasional staff, contractors, and technology vendors. These accounts change frequently, creating opportunities for excessive access, inactive accounts, weak passwords, and overlooked administrator privileges.

Effective identity security should include:

  • Separate administrator accounts
  • Automated account creation and removal
  • Regular permission reviews
  • Conditional access controls
  • Monitoring for unusual sign-ins and privilege changes
  • Prompt removal of former users and contractors

Multi-factor authentication must cover every account that can reach sensitive systems. In a 2025 Ontario school-board breach, an account without MFA was compromised after more than 300 unsuccessful login attempts. The incident also showed why logs must generate actionable alerts instead of being stored for occasional manual review. The IPC’s findings also identified inadequate network segmentation and improperly configured data-loss controls.

Security cannot stop at identity. Endpoints need protection and patching, networks need segmentation, email requires phishing controls, and privileged activity must be monitored. Controls also need regular testing to confirm that they work as intended.

A backup is valuable only if the board can restore the right systems within an acceptable timeframe.
School-board recovery planning should identify which services must return first, such as:

  • Identity and authentication
  • Student information and attendance
  • Email and Microsoft 365 data
  • Finance and payroll
  • Transportation and operational systems
  • Phone and emergency communication services
  • Shared files and administrative records

Backups should be encrypted, separated from the production environment, protected from unauthorized deletion, and monitored for failures. Microsoft 365 data should be included where board recovery requirements exceed the platform’s built-in retention capabilities.

Recovery tests must verify more than whether files can be opened. Boards should confirm recovery times, dependencies, permissions, application functionality, and the steps required to restore operations at scale.

The incident response plan should also define who can authorize shutdowns, communicate with schools, contact insurers and legal counsel, coordinate with vendors, preserve evidence, and notify affected parties. Tabletop exercises allow those responsibilities to be tested before an actual emergency.

Phones, paging, public-address systems, emergency alerts, access control, and Microsoft Teams may be managed separately, but they must work together during an emergency.

Boards should assess whether staff can:

  • Reach offices and classrooms without delay

  • Trigger approved emergency messages
  • Communicate if the primary network or service fails
  • Manage systems consistently across multiple schools
  • Identify failures before an emergency occurs

These systems require documented testing, resilient network design, backup power where appropriate, and clear responsibility for maintenance. New construction and renovation projects should address cabling, Wi-Fi, phones, paging, access control, and emergency communication during the design stage to avoid compatibility problems and costly rework.

Before selecting a provider, ask:

  • Do you have direct experience supporting K–12 schools or school boards?
  • Can you work alongside our internal IT department?
  • How do you protect privileged and vendor access?
  • How do you monitor and escalate suspicious activity?
  • Can you support legacy and modern systems during phased upgrades?
  • How do you test backups and recovery procedures?

  • How will service levels and recurring problems be reported?
  • Who responds when a critical system fails after hours?
  • How do you document our systems and completed work?

The answers should describe defined processes, responsibilities, and evidence, not broad promises.
